Description:

Revamp the mail handling tools to match the 2023 standards of deliverability, enable advance email service for features such as autoreplies and integrate the mailing list management to our own infrastructure.

Includes work:

• Evaluate and shortlist possible tools
• Deploy and configure the chosen tool
• Configure advanced email service
• Migrate SWH mailing lists actually hosted by Inria

KPIs:

• proper outbound email setup with SPF and DKIM signing, personal SMTP accounts for staff members
• proper inbound email setup with
  • archiving/shared mailboxes for role accounts
  • reliable forwarding out to personal email addresses and other services (e.g. GitLab)
  • autoreplies on some role accounts
  • bonus goal: own mailing list setup
• Use a common (external/off-the-shelf) tool
